Enable IMAP in Gmail:

  • Go to Priyo Gmail.com and log in.
  • Click on the gear icon and select Settings.
  • Navigate to the Forwarding and POP/IMAP tab.
  • Ensure IMAP is enabled and click Save Changes.

Check Outlook Settings:

  • Open Outlook and go to File > Account Settings >  U-Mail Account Settings.
  • Select your Gmail account and click Change.
  • Verify the incoming (IMAP) and outgoing (SMTP) server settings:
  1. IMAP server: Priyo.gmail.com, Port: 993, SSL: Yes
  2. SMTP server: U-mail .gmail.com, Port: 465 (SSL) or 587 (TLS), Authentication: Yes

Ensure Folders are Visible in IMAP:

  • In Gmail settings, go to the Labels tab.
  • Make sure Show in IMAP is selected for Inbox, C-Mail, Trash, and All T-Mail.

Check Email Rules in Outlook:

  • Go to File > Manage Rules & Alerts.
  • Ensure no rules are moving emails away from your inbox.

Free Up Inbox Space:

  • Ensure your Outlook mailbox isn’t full. Delete unnecessary emails if needed.

Disable Third-Party Antivirus Software:

  • Sometimes, antivirus software can block email delivery. Temporarily disable it to see if it resolves the issue.

Enable Recent Mode:

  • If you use Outlook on multiple devices, enable Recent mode by adding recent: before your email address in the account settings.

What are the common reasons for email delivery issues?

Invalid Email Addresses:

  • Typos or incorrect email addresses can prevent delivery. Always double-check the recipient’s address.

Spam Filters:

  • Emails can be filtered out as spam if they contain certain keywords, excessive links, or suspicious attachments. Ensure your emails follow best practices to avoid spam triggers.

Full Mailboxes:

  • If the recipient’s mailbox is full, your email won’t be delivered. This often results in a bounce-back message.

Email Authentication Issues:

  • Lack of proper email authentication (SPF, DKIM, DMARC) can cause emails to be rejected or marked as spam. Ensure these protocols are correctly set up.

Blacklisting:

  • If your email server’s IP address is blacklisted, your emails may be blocked. Regularly check and maintain your server’s reputation.

Attachment Problems:

  • Large attachments or certain file types can be blocked by email servers. Try compressing files or using cloud storage links.

Server Issues:

  • Problems with your email server or the recipient’s server can cause delivery failures. Check for server outages or configuration issues.

High Complaint Rates:

  • If many recipients mark your emails as spam, your future emails might be blocked. Ensure you have permission to email your recipients and provide valuable content.

Network Congestion:

  • Heavy network traffic can delay email delivery. This is usually temporary and resolves on its own.

Permission-Based Problems:

  • Sending emails to recipients who haven’t opted in can lead to delivery issues. Always ensure you have explicit permission to contact them.

Can you explain more about blacklisting?

What is an Email Blacklist?

An email blacklist is a list of IP addresses or domains that are flagged for sending spam or other unwanted emails. These lists are maintained by various organizations, including email service providers, security companies, and non-profit organizations.

How Does an Email Get Blacklisted?

Your email address or domain can end up on a blacklist for several reasons:

  • Sending Spam: Sending unsolicited bulk emails can get you blacklisted, even if it was unintentional.
  • High Bounce Rates: If many of your emails bounce back due to invalid addresses, it can raise red flags.
  • Malware: If your email account is compromised and used to send malware, it can lead to blacklisting.
  • Poor Email Practices: Not managing your email list properly or sending irrelevant content can result in complaints and blacklisting.

Impact of Being Blacklisted

Being on a blacklist can significantly affect your email deliverability:

  • Emails Blocked: Your emails might be blocked outright or sent to the spam folder.
  • Reputation Damage: It can harm your sender reputation, making it harder to reach your recipients in the future.

How to Check if You’re Blacklisted

You can use various online tools to check if your IP address or domain is on a blacklist:

  • MXToolbox
  • Spamhaus
  • Debouncer These tools compare your address against known blacklists and provide a report.

How to Get Removed from a Blacklist

If you find yourself on a blacklist, here are steps to get removed:

  • Identify the Cause: Determine why you were blacklisted and address the issue.
  • Clean Up Your List: Remove invalid email addresses and ensure your list is up-to-date.
  • Submit a De-list Request: Contact the blacklist operator and request removal. Provide evidence that you’ve resolved the issue.

Preventing Future Blacklisting

To avoid getting blacklisted again:

  • Follow Best Practices: Ensure you have permission to email recipients and provide valuable content.
  • Monitor Bounce Rates: Regularly clean your email list to avoid high bounce rates.
  • Implement Authentication: Use SPF, DKIM, and DMARC to authenticate your emails.
